Tips for Writing Your Own IVR Script

Keep menus short

3-5 options is the sweet spot. More than that and callers forget the first option by the time they hear the last.

Most popular option first

If 60% of calls are for sales, make sales option 1. It saves time for the majority of callers.

Always offer a human

"Or hold to speak with a member of our team" should be in every menu. Never trap callers in automation.

Say the department before the number

"For sales, press 1" works better than "Press 1 for sales." Callers listen for the thing they want first.

Keep it under 45 seconds

Time your script out loud. If the welcome and menu take longer than 45 seconds, cut words, not options.

Include your business name

It confirms callers have reached the right place. You would be surprised how many businesses forget this.
